CRMSN Reserve respects your privacy. This policy explains what information we collect, how we use it, when we share it, and the choices available to you when you visit our website, contact us, make a reservation, or purchase from our store.

This Privacy Policy applies to the CRMSN Reserve website, online store, contact forms, customer accounts, reservation and order communications, and related digital interactions that link to this policy. In this policy, “CRMSN Reserve,” “CRMSN,” “we,” “us,” and “our” refer to the Maryland-based business operating the CRMSN Reserve brand.

Information you provide

• Contact information: name, email address, phone number, and the content of messages or inquiries.
• Order and fulfillment information: billing and delivery address, products ordered, quantities, order notes, pickup or delivery selections, transaction status, and related customer-service records.
• Account information: login credentials and profile details if you choose to create a customer account.
• Reservation and custom-order information: event details, gift-recipient information, personalization requests, artwork approvals, deadlines, and other information needed to prepare a custom experience.
• Marketing preferences: whether you separately consent to receive CRMSN news, reservation announcements, new releases, or special invitations.

Information collected automatically

When you use the website, we and our service providers may collect your IP address, browser and device type, operating system, referring pages, pages viewed, approximate location derived from IP address, timestamps, shopping-cart activity, campaign or referral information, and cookie or similar identifiers. We use this information to operate the store, remember cart choices, understand site performance, prevent fraud and spam, and improve the customer experience.

Payment information

Payments are processed by Square and any payment methods displayed through Square at checkout. CRMSN does not receive or store your full payment-card number. Square may collect and process payment, device, fraud-prevention, and transaction information under its own privacy terms.

3. How we collect information

We collect information directly from you when you place an order, create an account, submit a HubSpot-powered form, contact us, approve a custom order, join a marketing list, or otherwise communicate with us. We also collect information automatically through WooCommerce, cookies, HubSpot tracking, server logs, and related website technologies. Service providers may return transaction, delivery, anti-fraud, and campaign information to us.

4. How we use information

We use personal information to:

• process and fulfill orders, reservations, pickups, deliveries, and approved shipments;
• confirm availability, collect payment, calculate taxes and fees, and send receipts or order updates;
• respond to product, gifting, event, Grand Reserve, partnership, and customer-service inquiries;
• prepare custom labels, packaging, gift experiences, and event orders;
• maintain customer accounts and shopping carts;
• send marketing email only where you have opted in, and maintain suppression records when you opt out;
• measure website traffic, referral sources, and campaign performance;
• detect spam, fraud, misuse, security incidents, or technical problems;
• protect our rights, customers, website, and business; and
• comply with tax, accounting, legal, and regulatory obligations.

5. Cookies and tracking technologies

CRMSN uses essential cookies needed for the WooCommerce cart, checkout, customer accounts, security, and site operation. We also use HubSpot tools for forms, contact management, website analytics, and consent-based marketing. The contact form may use Google reCAPTCHA to reduce spam and abuse.

Where required, nonessential cookies are controlled through the cookie banner. You may adjust your choices through that banner or your browser settings. Blocking essential cookies may prevent the cart, checkout, account, or form features from working properly.

6. When we disclose information

We may disclose personal information only as reasonably necessary to the following categories of recipients:

• Website and commerce providers, including WordPress, WooCommerce, Elementor, and WP Engine;
• Payment providers, including Square and payment options made available through Square;
• Customer-relationship and form providers, including HubSpot;
• Security and spam-prevention providers, including Google reCAPTCHA;
• Delivery, shipping, printing, and production partners when needed to complete an order;
• Professional advisers and authorities when reasonably necessary for accounting, legal compliance, fraud prevention, or the protection of rights and safety; and
• A successor organization if the business is involved in a merger, financing, sale, reorganization, or transfer of assets.

We require service providers to handle information for the services they provide, subject to their contracts and applicable law.

7. Sale of data and targeted advertising

CRMSN does not currently sell personal information for money and does not use personal information for targeted advertising as those terms are defined under applicable state privacy law. If our practices change, we will update this policy and provide any legally required choice before the change applies.

8. Marketing choices

Submitting a contact form or placing an order does not automatically subscribe you to marketing. Marketing consent is optional and recorded separately through HubSpot. You may unsubscribe at any time by using the link in a marketing email or contacting us. We may still send nonmarketing communications needed to complete an order, respond to an inquiry, or provide a requested service.

9. Data retention

We retain personal information only as long as reasonably necessary for the purposes described in this policy. Order, transaction, tax, and accounting records may be retained for the period required by law and legitimate business needs. Inquiry and customer-service records are retained while needed to resolve the matter and document the relationship. Marketing information is retained until you unsubscribe or ask us to delete it, subject to a limited suppression record so we can honor your opt-out. Account information is generally retained while the account remains active.

10. Data security

We use reasonable administrative, technical, and organizational safeguards appropriate to the nature of the information we handle. No online system or method of transmission is completely secure, so we cannot guarantee absolute security.

11. Your privacy rights

Depending on where you live and the law that applies, you may have the right to request access to, correction of, deletion of, or a portable copy of your personal information, and to opt out of certain sales, targeted advertising, or profiling. You may also have the right to appeal a decision on a request.

We may need to verify your identity before completing it. An authorized agent may submit a request where permitted by law, but we may require proof of authority. Some information may be exempt from a request or retained where necessary to complete a transaction, detect fraud, exercise legal rights, or meet legal obligations.

12. Children’s privacy

The website is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has submitted personal information, contact us so we can review and delete it as appropriate.
